VAT and tax rates

Review tax details for the organization, client and document line items.

Last updated: 21 September 2026

Start with the source details

Check the organization's country and VAT registration, along with the client's country, type and VAT number. These contribute to the tax scenario suggested by the form.

A registration number and VAT number are separate fields. When using VIES validation, review the response rather than assuming every entered value is verified.

Document tax rates

For each line item, check the tax rate, base and VAT amount. Available rates and explanations depend on the settings and scenario. Do not select a zero rate merely to reach a desired total.

If the application suggests a different rate, review both parties' details and the transaction type. Clarify the applicable treatment with your accountant where needed before issuing the document.

Review the summary

  1. Compare quantities, unit prices and discounts.
  2. Check tax bases and VAT grouped by rate.
  3. Check the total and currency.
  4. Review the explanation that will appear on the document.

Amounts are calculated from the line items and document settings. Do not address a rounding difference by arbitrarily changing the tax rate.

Purchases and journals

For an uploaded expense, compare recognized tax amounts with the original before confirming. Issued invoices and confirmed expenses feed subsequent reports.

Use Declarations to review a reporting period. If a document is missing or has a different amount, check its source, period and status.

Corrections

Correct a draft before issuing it. For an issued document, use the relevant correction action for its state. Changing the VAT number in a client record does not automatically change a previously issued invoice.
