Send and track
Send a document, use the client portal and keep track of outstanding amounts.
Last updated: 21 September 2026
Send the document
Open the document and select Send. Review the recipient, any CC addresses, subject and message. The client's address is filled from their details, but check it before each send.
The email contains a link to the document in the client portal. Manual email sending is available on every paid plan, Starter included.
If sending is temporarily limited after a previous email, wait for the period shown. Repeatedly sending is not a way to check whether the client received the message.
What the client sees
The client opens the email link, views the document and downloads its PDF. They do not need an account in the invoicing application. Treat the link as access to the document and share it only with the intended recipients.
The portal shows the document's details and status. Sending an email or opening the page does not mean payment has been received.
Check delivery activity
Check the document status and available sending history. Detailed email history depends on your plan. If the recipient cannot find the email, first verify the address and ask them to check spam.
Record payment
Record a payment only after confirming that the money was actually received. Use the document's payment action and review the amount and outstanding balance.
With the Bank module, you can match a statement transaction to the document. Do not record the same payment both manually and through reconciliation. If you make a mistake, use the reversal action and check the remaining balance.
Overdue invoices and reminders
Check the due date and unpaid balance when an invoice appears overdue. Automatic reminders are available from Pro; the weekly overdue report is available from Business. Configure them in Reminders.
Do not mark an unpaid invoice as paid merely to stop emails. That would change your receivables data.
Quotes
Quotes can also be sent through the portal. An accepted quote is neither a payment nor an issued invoice. Use the action to create an invoice from the quote and review the new document before issuing it.
