Prepare the monthly close
A practical checklist from documents and payments to accounting reports and declarations.

This guide puts the work across modules in order. It does not perform an automatic close or submit declarations. Agree who reviews documents, who reconciles payments and who checks the accounting reports.
Check the organization and use the same month in every report. The full workflow needs the Business or Enterprise modules and a role with working access. On a smaller plan, prepare the available documents and arrange the remaining checks with your accountant.
1. Review sales
Open Sales for the period. Review drafts, issued invoices and adjustment notes. Establish which drafts should remain unfinished and which need completing.
For documents from another system, check the original numbers and whether they have already been added. Compare dates and amounts. Do not issue a document again just to include it in a report.
2. Complete purchases
Review pending documents in Purchases. Compare the supplier, period, tax amounts and category with the original, then confirm correct expenses.
Set aside unreadable files and missing documents for follow-up. A confirmed expense and a paid expense are different states.
3. Reconcile bank transactions
In Bank, check that statements cover every account used and the whole period. Review the accounts, balances and pending transactions.
Match payments only after checking the document, amount and currency. Review partial payments and outstanding balances. Do not add a payment again if it was already recorded manually.
4. Check personnel costs
If you have personnel costs, open Personnel for the same month. Check imported D1 and D6 files, the number of people, totals and payments. Clarify discrepancy warnings with whoever prepared the files.
Importing these files does not calculate payroll or mean the declarations have been submitted.
5. Review accounting entries
In Accounting, compare the entries, trial balance and general ledger for the period. Open the source when an amount or account looks incorrect.
Before correcting anything, establish whether the change belongs in the document, payment or accounting entry. Review affected reports again afterwards to avoid recording the same correction twice.
6. Prepare reporting files
Open Declarations. Compare the journals and declaration for the same period. Resolve missing details and warnings before generating files.
Downloading a file is not submission. Check the result through your filing process before treating the task as complete. Respect the period's state when locking it or making later corrections.
Final team check
- Every expected document is entered, or missing items are clearly identified.
- Pending bank transactions and unpaid amounts have been reviewed.
- Personnel discrepancies have been clarified where applicable.
- Accounting reports and declarations have been reviewed after the latest corrections.
- It is clear which files are only prepared and which have actually been submitted.
