Document numbering

Set up a numbering series, continue existing numbering and check numbers before issuing.

What a numbering series does

A series determines the numbering used when the application issues documents. Its name helps you identify it in settings; that name is not necessarily part of the printed number.

Available format, prefix and reset options depend on the organization's country. The form shows applicable options and validates your entries.

Create and select a series

  1. Open the organization's numbering settings.
  2. Create a series and give it a clear name.
  3. Enter its starting number. If continuing from another system, check the last number issued there.
  4. Complete the permitted format settings and review the result.
  5. Choose the default series and save.
Important · Check the starting number

The starting number is set at creation and cannot be edited later. Do not start with a number already used on an issued document.

After the first document

Numbering settings become restricted once the series is in use. Do not try to renumber issued invoices by editing the series.

Check the selected series in each new document's form. Recurring templates and integrations also need the correct numbering.

Cancellation and retirement

A cancelled document keeps its number. Adjustment notes link to the original invoice and take the next number from its series, in the same sequence as invoices. Do not reuse a cancelled document's number.

Retiring a series stops new documents from using it while preserving existing ones. Deletion is restricted for series with issued documents. Before changing anything, check that another suitable active series exists and whether templates or integrations use the current one.

Your first invoice shows where numbering is used during issue.
